How to Maintain a Zero Inbox
If you’re anything like me, you probably hate seeing that pesky notification symbol on your apps on in your inbox.
Those notifications make me feel like I am behind and have some catching up to do.
In my personal and professional life, I developed a system to zero my inbox by the end of the day.
For any super organized person, this is sheer bliss.
And, if you’re not overly organized, this is a natural habit to develop so you can be an efficient entrepreneur.
Don’t want any critical opportunities falling through the cracks.
Today, I am going to share with you a reliable system to maintain a zero inbox every single day.
How to maintain a zero inbox every day
Set Dedicated Times
Checking your email and messages regularly throughout the day can get overwhelming. And, if you have a high volume of messages…whew.
Dedicate set times throughout the day to go through your emails and messages. My recommendation is at least three times a day – in the morning, around lunchtime, and in the evening. Having the set time frames gets you into a routine, and you never miss an email or message during your active hours.
Create folders
As soon as you read an email, it should have a place to go. Create folders based on projects, a special to-do folder, by client – whatever makes the most sense for your situation. But, each message should have a place to go after you read and/or reply. That’s how you ensure things don’t get lost or fall through the cracks.
Use a project management tool
This step may seem a bit different, but it’s the gem in this process. Use a project management tool (such as Asana, Trello, or Clickup). Every time you have a new to-do or important email to follow up on, add it to your project management list and use that tool for reminders and follow up (great for taking notes in meetings, too).
Schedule emails ahead of time
If you are very particular about when you respond to emails (such as you don’t like responding outside of business hours), there are apps that will integrate with your email system so you can schedule your emails to go out at certain times. You don’t miss a beat, and your recipients only communicate with you during your business hours.
